Ithikon will professionally customize a robust data-driven, Web-based, management application that contains extensive back-end site management capabilities through the Management Gateway™ system.
The focus of this product is to provide an enterprise level, Web-based business system that will offer valuable resources to your administrative and management staff and a higher level of interactivity for members. All data will be integrated in order to streamline the workflow and automate functions that are possibly being performed manually today.

1. User Management
The administrator will have complete authority to create and manage the authorized access levels for each of the system's users and/or members. The user's access levels will determine their rights within the system and their access and/or edit capabilities. The user's name and password will identify the level of access assigned. Permission levels will determine their restrictions with regard to viewing and/or editing information.
2. Member Management
The authorized administrator can create, manage, add or delete an unlimited number of individual member records so that all applicable functions and accumulated data can be integrated to that member in the database.
Member data will be imported or entered through a Web-based browser. The member profile will determine the automated functions that will take place, such as when and how they receive information, what information they receive, their required dues, fees, assessments and payments, the access they may have to certain information within the system, etc.
The administrator will have the ability to manually apply data to the system or take data out of the system for various purposes such as an independent back-up or to use in conjunction with other in-house programs, such as QuickBooks, Excel, Act!, Access, etc.
Authorized personnel will be able to search for individual members by various criteria. Search screens can be custom designed to enable entire database searches or perform group-specific searches. Search criteria will be determined by the administrator during development. This system can also track both the primary and secondary addresses of the owners and residents.
Since this application is Web-enabled, members may access their individual profiles for the purpose of submitting changes to their personal profile, change their passwords, participate in Forums, or view calendar events that are specific to members and/or member groups. (more...)
3. Report Management
Generate reports from an Ad Hoc editor or from a menu of custom reports – Most reports that are generated on a daily, weekly, quarterly, semi-annual and annual basis can be saved to the system so that they can be selected from a menu and used again. Ad Hoc reporting will allow authorized individuals to build a custom report by selecting the database fields that apply. (more...)
4. Fees and Assessments Manager
Manage and document dues, payments and fees – Authorized individuals can access dues information, manage late payments, schedule and send late notifications, create payment schedules or assign special assessments or fees. Transactions that occur via the Internet will automatically be documented in the database. Manual input of data will also be applied in real-time.
This system will provide the ability to search for, retrieve and manage in-depth member-specific financial information in real-time. It will provide for invoice creation and management, and real-time report generation. It will automatically communicate reminders, confirmations and late notices and will possess a customized security feature for protection. (more...)
5. Work Order Process
Manage and document work orders – Association members may fill out a request for service which in turn becomes a work order in the system. Work orders and related documents will be merged to the applicable member and association information in the database to allow processing of work order requests, tracking, documentation and scheduling. 6. Violations Management
Manage and document code violations – Data and communications related to code violations can be stored on a menu and customized/personalized on the fly. Digital pictures depicting violations can be stored in the database, deployed to a Web page or included in an email communication. (more...)
7. Architectural Process Management
The system can be customized to manage and maintain detailed contractor information in accordance with your specifications. Detailed information regarding project “type” can be provided without limitation (in order to define the project) and customized. This information will be integrated by owner-contractor-project-lot information. A project number can be assigned by the Admin or auto-generated. Structure, materials, foundation and inspection details can also be provided without limitation and as per your specifications.
8. Budgeting and Replacement Forecasting
This module can provide an automated process with which to manage the facilities maintenance and replacement requirements. This system will come in the form of a dynamic, Web-based application that can be modified and managed and/or viewed by any authorized user or member. (more...) 9. Accounting System
This system can be customized to interface with many existing accounting systems such as QuickBooks. If a more robust accounting function is desired, our GAAP compliant accounting system can be integrated in order to provide A/R, A/P, G/L, Bank Reconciliation, Payroll, Inventory and Purchase Order functionality. 10. Web Content Management
Manage Web site content – Since this product is Web-based, a Web site will be developed to host the point of access. If a Web site already exists, then that site can either be maintained with the current host or Ithikon can take on the hosting responsibilities at no additional cost. Otherwise, a Web site will be designed and developed that will provide the latest in technological resources that will empower you with access and edit capabilities so that you can manage the content on all public and private Web pages. A Web page editor that requires no programming knowledge is provided so that authorized members can create, edit, link and deploy Web pages as well as applications such as:
Authorized individuals may use digital pictures and graphics for Web page building and editing and can deploy these graphics from folders on their own computer. This is real-time editor so newly deigned or edits to existing pages may be deployed immediately.
